Purchase Requests

This release gives you a faster, more controlled way to turn planning work into purchase requests — and adds an approval workflow so the right people sign off before a PO goes out.

Pull Purchase Request lines straight from your Planning Lines. No more rekeying. On the Purchase Request Card, click "Populate from Planning Lines" and the lines come in ready to review.

Keep Planning and Purchasing in sync automatically. When your Purchase Request Lines came from Planning Lines, running "Create PO/Cr. Memo" links the resulting Purchase Order Lines back to those same Planning Lines. If you specified a "Chargeback Vendor No." and you create a Purchase Credit Memo, HomeBuilder also creates copies of the Planning Lines with negative quantities and links them to the Purchase Credit Memo Lines — so your chargeback paperwork lines up with your plan.

Stay protected when you change key fields on a linked line. If a Purchase Request Line was populated from a Planning Line and you try to change "No.", "Variant Code", "Phase Code", "Lot Code", or "House Area Code", HomeBuilder prompts you to unlink it first, so you don’t silently break the connection back to your plan.

Route Purchase Requests through approval — just like Purchase Orders. You can now set up an approval workflow for Purchase Requests that works the same way as approval workflows for Purchase Orders. To configure it:

  1. Open the Workflows page.
  2. Select New Workflow from Template.
  3. On the Workflow Templates page, choose Purchase Request Approval Workflow.
  4. Click OK.
  5. Open the Lot Card or Lot Selection Packages page.
  6. Choose Print Selection for Trades.
  7. If you ran it from Lot Selection Packages, you can include only the packages you selected.

Send, cancel, approve, reject, or delegate without leaving the request. The "Request Approval" group on the Purchase Request Card and Purchase Requests pages now gives you these actions:

  • Send Approval Request
  • Cancel Approval Request
  • Approve
  • Reject
  • Delegate
  • Comments
  • You can edit a Purchase Request when its Status is Open.
  • The Create PO/Cr. Memo action is available when its Status is Released.
  • Print
  • Send
  • Send Silently
  • Phase Item Variants
  • Model Item Variants
  • Contract Revision Items
  • Remembers your last filter, so you don’t reset it every time.
  • Includes an Only Active and Warranty Companies checkbox to narrow the run.
  • Prints images from every company, not just the one you’re currently in.

Check who has approved what. To view approvals, use the "Approvals" action under the "Related" menu on the Purchase Request Card and Purchase Requests pages.

See where each request stands at a glance. A "Status" field on Purchase Requests shows Open, Released, or Pending Approval. The rules:

If you don’t have the approval workflow turned on, you can move requests between statuses yourself with the Release and Reopen actions.

Print or send a Purchase Request directly to the Vendor. On the "Purchase Request Card" and "Purchase Requests" pages, open the "Print/Send" menu, where you’ll find:

Project Journals that affect Lot Budget actuals

Project Journals can now post entries that affect Lot Budget actual amounts, and HomeBuilder fills in fields for you so you don’t have to remember every code.

Type a Phase or Lot — get the Project No. for free. Project Journal Lines now include "Phase Code" and "Lot Code". Enter either, and HomeBuilder fills in "Project No." automatically. Enter "Project No." first, and "Phase Code" and "Lot Code" fill in for you.

Cost Detail Code populates from the Item. When the "Line Type" is ‘Budget’ or ‘Budget and Billable’ and the "Type" is ‘Item’, entering the "No." pulls the "Cost Detail Code" from the Item’s "Cost Detail Code".

Billable lines pick up the right Revenue Detail. When the "Line Type" is ‘Billable’ and the "Type" is ‘Item’, entering the "No." pulls the "Cost Detail Code" from the Item’s "Revenue Detail Code".

Project Task No. follows the Item’s template. When the "Type" is ‘Item’, entering the "No." fills in the "Project Task No." from the Item’s "WF Template Task No." field.

G/L Account lines back-fill from Cost Details. When the "Type" is ‘G/L Account’ and you enter the "Cost Detail Code", the "No." and "Project Task No." fill in from the matching Cost Detail record.

Work Orders and Service re-trading

Build a Work Order from your plan in one click. On the "Work Order Card" page, the new "Populate from Planning Lines" action lets you fill in Work Order Lines when you start a Work Order from scratch — so you don’t have to type them.

Re-trade Service Work Order lines without rebuilding the Work Order. On the "Work Order Card" page, when you open a Service Work Order, you can re-trade selected Work Order Lines to another Service Work Order — one tied to a different Inspection but on the same Lot.

Re-trade Service Issues the same way. On the Service Issues and Inspection Service Issues pages, you can re-trade selected Service Issues to a Service Work Order on a different Inspection but the same Lot.

Items, Categories, and lookups

Mark Component Items as credits. You can now turn on the "Is Credit" checkbox for Items with the ‘Component’ designation.

Reorganize Construction Item Categories without exporting them. On the "Construction Item Categories page", you can edit the "Parent Category Code" directly. A new "Parent Category Description" column — a flow-field, so it updates automatically — shows you what each parent is.

See what’s actually available before you commit a Variant or Item. A new "Available" flow-field — a live, calculated value — appears on:

Find Cost Details by typing what they are, not what they’re numbered. When entering the "Cost Detail Code" on a Purchase Line, Sale Line, or Project G/L Journal Line, you can now search Cost Details by Description.

Faster posting, dashboards, and reports

Pull lines from another Standard Journal. In the Standard General Journal, the new "Copy from another Std. Journal" action lets you copy lines in instead of re-typing them.

See open issues without leaving your Role Center. The "Issues w/o W. Orders" cue — a count you can click to open the list — now appears on the HomeBuilder Executive, HomeBuilder Admin, HomeBuilder Inspector, and HomeBuilder Site Super Role Centers.

Print Trade Extras for any Lot or selection package. A new "Trade Extras" report prints from the "Lot Card" or "Lot Selection Packages" pages. To run it:

Track more milestones across your Lot Date Matrix. On the Lot Date Matrix page, the maximum number of columns is now 100 (up from 30) — so longer schedules fit on one page.

Get sharper Global Vendor Deficiencies reports. The "Global Vendor Deficiencies" report now:

Corrections

Date Effective changes flow through to your Contract Revision Items. Updating the "Date Effective field" on a Contract Revision now correctly carries through to the related Contract Revision Items.

Model Additional Items pull the right cost and price. When "Override Cost/Price" is set to False on Model Additional Items, the "Unit Cost" and "Unit Price" now come correctly from the matching Model Item.

Trade Type Code lands on POE Planning Lines. Adding a line to a POE now correctly assigns the "Trade Type Code" to the new Planning Line.

Deficiencies by Vendor emails go where you set them. When you send emails from the "Deficiencies by Vendor" report, HomeBuilder uses the email address from Vendor Document Layouts. If none is set there, it falls back to the email address on the Vendor Card.

Lot Key Dates update when a Workflow is pushed. Pushing a Workflow to a Lot now correctly updates the Scheduled and Actual Dates in Lot Key Dates from the associated Lot Tasks.
